Terms and Conditions

These Terms and Conditions (“Terms”) govern the relationship between you (“the Client”) and Again Expeditions Limited (“the Company”), a licensed tour operator registered in the United Republic of Tanzania. By booking any trip with us, you agree to be bound by the following:


 

1. Application of Terms

These Terms apply in the following cases:

  • When you book directly with Again Expeditions;

  • When you book through our authorized partners or sales representatives;

  • By booking with us (directly or via partners), you acknowledge acceptance of these Terms.


 

2. Our Warranties and Commitments

Again Expeditions warrants that:

  • We are fully licensed to operate Kilimanjaro treks and wildlife safaris in Tanzania;

  • We have organized expeditions for thousands of clients with proven expertise;

  • All our guides and driver-guides are professionally trained and certified;

  • Our marketing descriptions are accurate and not misleading;

  • We operate as a tour operator, not a travel agency, except when arranging accommodation and flights through third parties;

  • We pay fair wages above market standards and support local community projects;

  • We uphold strict environmental policies, including “leave no trace” principles;

  • We foster an inclusive, safe work environment and support local suppliers committed to sustainability.


 

3. Personal Information

To arrange your tour, we require certain personal details (e.g., full name, nationality, passport details, dietary or medical requirements). Information may be shared with parks, lodges, and other service providers for operational purposes.


 

4. Official Communications

For your safety, only use the following communication channels:

  • Phone & WhatsApp: numbers listed on our official website

  • Live chat: via our official website

We are not responsible for losses arising from communication with unauthorized parties.


 

5. Booking & Payment

  • A deposit is required to confirm your booking (as advised by your consultant).

  • Full payment is due at least 14 days before tour start, unless otherwise agreed in writing.

  • Payments must cover all transaction and bank charges. Credit card payments incur a 3.5% surcharge.

  • Bookings for minors (under 18) must be made by parents/guardians who assume responsibility for them.


6. Prices

Once confirmed, tour prices will not change except in the event of government-mandated increases in park fees or taxes. Clients may cancel with a refund (per our policy) or accept the revised price.


7. Itinerary Changes

  • By Client: Itinerary changes are free if no extra costs arise. Additional costs are borne by the client. No refunds for unused services.

  • By Company: Rarely, weather or operational reasons may require changes. We will inform you promptly.

  • Third Parties: We are not liable for disruptions caused by airlines, lodges, or force majeure events.


 

8. Cancellations

  • $100 per person deposit is non-refundable but transferable.

  • Cancellation fees:

    • 10% if more than 90 days before start

    • 30% if 60–89 days before start

    • 60% if 30–59 days before start

    • 80% if 8–29 days before start

    • No refund if 0–7 days before start

  • If Again Expeditions cancels, you will receive a 100% refund.


 

9. Travel Documents & Entry to Tanzania

Clients are responsible for:

  • Holding a valid passport (6+ months validity, 2 blank pages minimum);

  • Obtaining visas (apply online via the Tanzania Immigration website);

  • Covering visa and entry-related costs.


 

10. Accommodation

  • Group tours: shared twin/double rooms or tents. Single supplements available at extra cost.

  • Private tours: accommodation arranged according to agreed package.

  • Hotel availability may require substitutions of equal or higher standard.


 

11. Fitness & Medical Information

  • Clients must ensure they are physically fit for safaris or treks.

  • Medical forms may be required. Failure to disclose conditions may result in cancellation without refund.

  • Special diets (vegetarian, vegan, gluten-free, halal) can be accommodated if requested 30 days before arrival.


 

12. Travel Insurance

Travel insurance is mandatory and must include:

  • Emergency medical care and evacuation;

  • Cancellation/curtailment coverage;

  • High-altitude trekking (up to 6,000m for Kilimanjaro climbers).


 

13. Vaccinations

Clients should consult a licensed medical professional regarding required or recommended vaccinations. Again Expeditions provides general, non-medical advice only.


 

14. Authority of Guides

Clients must follow the instructions of guides at all times. The chief guide’s decision regarding safety, itinerary, and team management is final.


 

15. Assumption of Risk

Adventure travel involves risks (wildlife encounters, high altitude, limited medical care, etc.). By booking, you acknowledge and accept all associated risks and release Again Expeditions from liability for inherent risks.


 

16. Liability for Damages

Clients are responsible for any willful damage to Again Expeditions property (vehicles, tents, equipment, etc.). Compensation must be settled before departure.


 

17. Third-Party Services

Again Expeditions works with hotels, lodges, and airlines but cannot control their performance. Their individual terms and conditions apply.


 

18. Luggage & Valuables

  • Again Expeditions is not liable for airline baggage delays/losses.

  • Lost trekking gear will be replaced free from our stock if proven packed in delayed luggage.

  • Valuables remain your responsibility unless stored in our company safe.


 

19. Images & Marketing

By joining our tours, you consent to the use of photos/videos of you for marketing purposes, unless you inform us otherwise in advance.


 

20. Force Majeure

Again Expeditions shall not be liable for disruptions caused by events beyond our control, including natural disasters, political unrest, strikes, extreme weather, or government actions.


 

21. Complaints

We strive to exceed expectations. If dissatisfied, contact your tour manager first. If unresolved, escalate to our senior management team. Responses are provided within 48 hours.


 

22. Governing Law

These Terms are governed by the laws of the United Republic of Tanzania. Any disputes shall be resolved under Tanzanian law.
